How Can Rekeying Activity Help Me Plan My Annual Budget?

Use rekey trends and location step data to anticipate material needs before they become urgent.

 Rekeying costs are easier to plan when you can see both recent activity and the current lifecycle position of your locations. In SecurityRecords, Rekeying Analysis shows rekey activity over time, while Current Step shows how locations are distributed across available steps. 

 Identify the program baseline

Review the monthly rekey average and note unusually high or low months. Determine whether spikes were caused by routine turnover, lost or unreturned keys, security incidents, reorganizations, or a planned initiative. Use ordinary months to establish a baseline and treat unusual events separately.

Review Current Step Distribution

A large concentration of locations at early steps may indicate substantial remaining lifecycle capacity. Locations at later steps deserve closer review because future activity may require different planning, such as a recore. The widget is a planning indicator, letting you know some locations may require a more costly recore in the coming year that was not previously accounted for

Confirm Key Accountability

Use the Active Key Issuance report from our Scheduler app when you need additional information on your report, such as identifier and key assignments. This report will show you who the key is assigned to, its status, step, and even shows if a key receipt has been signed by that individual. Selecting 'Include Mailer Keys' on this report can also help verify rekey kits are on site for a specific location, while excluding master keys can narrow the review to user-level keys.

Budget for Both Planned and Unplanned Needs

  • Expected rekeys based on normal annual activity
  • Replenishment when future kits are missing
  • Additional keys needed after a rekey
  • Labor or service support when additional hardware work is required
  • Freight, including an expedited contingency for time-sensitive events

Reduce Avoidable Emergency Costs

Maintain accurate key assignments, perform periodic key audits, verify that rekey kits are sealed on site, and train location teams on escalation procedures. Better records do not eliminate unplanned events, but they can reduce uncertainty and help teams respond without unnecessary delay.
